Effective Date: 24/01/2025

This Privacy Policy applies to all users of HRX360 and outlines how we collect, use, and protect your personal information. By using HRX360 services through our main website (www.hrx360.com) or our portal (https://portal.hrx360.com), you agree to the practices described in this Privacy Policy.

At HRX360, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines how we collect, use, and protect your data, particularly regarding our use of Google Sign-In.

1. Information We Collect

We collect personal data to provide, maintain, and improve our services. The types of data we collect include:

a. Personal Information:

  • Google Account Information: When you use Google Sign-In, we collect information provided by Google, including your name and email address. This information is used to authenticate you and ensure access to your HRX360 account. After authentication, we verify that your email address is registered with an enrolled company/organisation associated with HRX360. If the email address matches, you will be granted access to your account. If the email does not match, access will be denied.
  • Other Information: HRX360 does not collect any other information through Google Sign-In.

2. How We Use Your Information

We use the information collected for the following purposes:

  • Authentication and Account Access: To verify your identity through Google Sign-In and check if your email address is registered with an enrolled company/organization associated with HRX360. If verified, you will gain access to your account.

3. Google Sign-In and Email Verification

When you log in to HRX360 using Google Sign-In, we collect your name and email address from Google. After authentication, we verify your email address to confirm that it is associated with a company/organisation enrolled in HRX360. If your email matches, you will be able to access your account. If it does not match, access will be denied, and you may be required to contact your company/organisation or HRX360 support.

We only request the following permissions from Google during the sign-in process:

  • Basic profile information (your name and email address).

We do not request or access additional data from your Google account, such as your Drive, contacts, or other personal information. Please refer to Google’s Privacy Policy for more information on how Google handles your data.

4. Sharing of Your Information

We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties, except for trusted third parties who assist us in operating our platform, conducting our business, or serving you, provided those parties agree to keep this information confidential.

We may also share your information under the following circumstances:

  • Legal Requirements: When required by law, court order, or government regulation.

5. Data Security

We prioritise the security of your data. We implement appropriate technical and organisational measures to protect against unauthorised access, alteration, disclosure, or destruction of your personal information. However, no security system is impenetrable, and we cannot guarantee the security of our systems with absolute certainty.

6. Your Choices and Rights

  • Access and Correction: You may access your personal information within your HRX360 account settings.
  • Data Deletion: If you wish to delete your account, please contact your company/organisation.
  • Opt-Out: You can opt out of receiving non-essential communications at any time by following the unsubscribe instructions included in our emails.

7. Data Retention

We retain your name, email address, and authentication details for the duration of your use of HRX360 services. When an employee leaves the company, their account and login access will be marked as inactive by their organisation. The data associated with inactive accounts remains available for record-keeping purposes, as managed by the enrolled company/organisation.

8. Third-Party Links

Our platform may contain links to third-party websites or external resources, such as YouTube for training materials. These websites have separate and independent privacy policies, and we have no control over their content or privacy practices. We encourage you to review the privacy policies of those websites.
