Most UAE rosters still live in a spreadsheet and a WhatsApp group. The sheet is right until the first swap, the group message is read by half the team, and at month end someone retypes who worked which days into payroll. Shift scheduling software exists to make the roster the single record: define the shifts once, assign them by date and department, overlay weekends, holidays and leave, show every employee their own week, and let attendance and payroll read the same schedule.

This guide explains how that works in HR software built for the UAE, with HRX360 as the worked example: the three attendance modes, how shift patterns are set up, how a roster is built for a whole department in one step, how overtime reaches payroll, and what staff see on their phones.

What is shift scheduling software?

Shift scheduling software defines the shifts a business runs (start and end times, clock-in windows, overtime rules), assigns them to employees for specific dates with repeat patterns, overlays weekends, public holidays and approved leave, checks each day's attendance against the assigned shift, and passes the resulting days and overtime hours to payroll without re-typing.

The test of a good tool is not how pretty the roster looks. It is whether the roster, the attendance report and the payroll run are the same numbers.

Which UAE businesses need shift scheduling?

Any team whose working hours change by day or by person: restaurants and cafes, retail, clinics, security and facilities companies, logistics, and construction and contracting sites with crews on rotation. Office teams on fixed hours usually need only a default time table per employee, not a day-by-day roster.

HRX360 matches the tool to the team with one setting, the attendance mode:

ModeHow attendance is judgedBest for
SimpleNo time tables. Everyone is present unless on leave, holiday or weekend.Monthly-salaried office teams that do not track hours
StandardOne default time table per employee on their profile; punches checked against it; late in and early out flagged.Fixed office hours with clock-in checking
AdvancedA time table assigned per employee per day on the Work Schedule; punches validated against that day; overtime and lateness minutes added.Shifts and rosters: restaurants, retail, clinics, security, sites

Restaurants and cafes are the clearest case; the restaurants and cafes page covers split shifts and weekend trading, and the construction page covers crews moving between sites.

How do you set up shift patterns?

A shift is a time table: a named set of working hours such as “Office 9 to 6” or “Night Shift” with an on time, an off time, clock-in and clock-out windows that give a grace period, whether overtime is allowed beyond the scheduled hours, and a Midnight Clock Out setting for shifts that end after 00:00. Create each pattern once and reuse it across the company.

On and off times. The scheduled start and end, for example 09:00 to 18:00.

Clock-in windows. In From and In To bound the punch: In From 08:30 and In To 09:15 means a punch up to 09:15 still counts as on time. The same applies to the clock-out window.

Allow OT. Only time tables with this ticked produce overtime on the attendance reports and in Payroll Attendance when overtime is switched on for the company.

Midnight Clock Out. For shifts that end after midnight, such as on at 14:30 and off at 00:30, so the next-day clock-out is matched to the shift that started the day before.

Time tables are created under Settings, HR Setup, Time Tables, and the overtime rules they follow are managed under Payroll Configuration, Overtime Rules, so attendance reports, Payroll Attendance and the Timesheet add-on read the same rule set.

How do you build the roster for a whole department?

On the Work Schedule screen, filter the grid to the employees you want (department, designation, location or time table code), click Assign to Filtered Employees, pick the date range, the time table and a repeat pattern, and confirm. Every employee in the filter gets the shift for every matching day; single days are changed by clicking the cell.

Repeat patternWhat it doesTypical use
DailyEvery day in the date rangeA fixed shift for a month
Alternate daysEvery other day, starting on the first or second dayTwo crews sharing one role
Specific weekdaysOnly the ticked days, for example Monday to FridayWeekday teams, part-timers
Weekly or bi-weeklyRepeats on the chosen week cycleRotating week-on, week-off patterns
MonthlyChosen dates of the month, including the last dayMonth-end stock counts, closing shifts

Two levels keep the roster manageable. The default time table on each employee's profile is their normal shift and applies automatically. The Work Schedule assigns a time table to specific dates on top of it: in Standard mode only for exceptions, in Advanced mode for every working day. An amber “Unsaved Changes” chip warns before anything is lost, and hovering a day cell shows a bin icon to remove a single assignment.

How do weekends, public holidays and leave fit into the schedule?

Set the company's weekend days once (Friday and Saturday, or Saturday and Sunday), keep public and company holidays in the holiday master, and approve leave in the leave module. The roster, the attendance reports and the employee's own week view all read those three sources, so a holiday or an approved leave day never counts as an absence.

This is where spreadsheet rosters fail quietly: the holiday is on the sheet, the leave is in an email, and the attendance report marks the person absent. In HRX360 the leave module and the holiday calendar feed the same schedule the roster uses, and work on a weekly-off or public holiday is treated as holiday overtime rather than a normal day when overtime is enabled.

How does the schedule reach payroll?

Punches from ZKTeco and Hikvision devices or from the mobile app are compared with the assigned shift to mark each day present, absent, half day or late. Payroll Attendance then loads leave-aware days worked for the period, and when overtime is switched on, prices normal and holiday overtime hours into the pay run as variable salary, on the Professional plan.

Attendance reports read the schedule. Attendance Listing and Attendance Summary judge each day against the assigned time table, with late-in and early-out flags, and overtime split into normal and holiday when enabled.

Payroll Attendance reads the reports. Days worked are calculated with approved unpaid leave deducted and capped by the calendar month; every loaded employee is saved, and the payroll run warns by name about anyone with no saved attendance.

Overtime is priced, not retyped. With the company overtime switch on, Overtime - Normal and Overtime - Holiday are priced from the employee’s fixed salary and standard daily hours; rules live in one named profile per time table.

Clock-in reminders close the gap. Opt-in: staff who have not clocked in by a set time get an email, and HR can receive a digest of who is still missing, skipping anyone on leave or holiday.

What do employees see?

In the HRX360 employee app, My Schedule shows each person their own week: the shift for every day with its hours, company holidays, the weekend days and their approved leave, with totals for working days and scheduled hours and today outlined. Home shows today's shift. It is read-only: changes go through HR, and colleagues' rosters are not shown.

That answers the question that generates most roster messages, “when am I working next week?”, without the supervisor. The same app handles clock-in with location and photo at punch, leave requests and payslips, so the schedule sits next to the things employees already open.

Worked example: a cafe with two shifts and a night delivery crew

A 19-person cafe runs a morning shift, an evening shift, a kitchen team that splits between them and three night riders on alternate days. Four time tables, one weekend rule and four roster assignments cover the whole month; the riders' time table has Midnight Clock Out ticked so their 02:00 clock-out belongs to the previous day's shift.

Set-up checklist, in order:

StepDoWhere and what
1Choose the attendance modeSettings, Attendance Setup. Advanced for rosters.
2Create the time tablesSettings, HR Setup, Time Tables: on and off times, clock-in windows, Allow OT, Midnight Clock Out for shifts past 00:00.
3Set weekend days and holidaysCompany settings and the holiday master, so the roster and the reports agree.
4Give each employee a default time tableEmployee Profile, Time and Leave tab, or bulk-assign from the time table row.
5Build the rosterWork Schedule: filter the grid, assign to the filtered employees with a repeat pattern, fix single days by clicking the cell.
6Switch on reminders and clock-in rulesOptional: clock-in reminder emails, geofence or approved networks for mobile punches.
7Check the reports before payrollAttendance Listing and Summary against the schedule; overtime split normal and holiday when enabled.

One rule saves most roster mistakes: in Advanced mode an employee with no shift assigned for a day does not appear in that day's attendance at all. Assign the roster before the month starts, and use the Work Schedule filters and Refresh Schedules to confirm every row shows a shift chip on every working day.

One roster that attendance and payroll both read

Time tables, the Work Schedule roster, biometric and mobile clock-in and the employee app with My Schedule are on every HRX360 plan, from AED 6 per employee per month billed annually. Pricing overtime into payroll is on Professional. See it on a UAE-configured account in a 30-minute demo.

Frequently asked questions

What is shift scheduling software?

Software that defines the shifts a business runs (start and end times, clock-in windows, overtime rules), assigns them to employees for specific dates, overlays weekends, public holidays and approved leave, checks attendance against the assigned shift, and passes the days and overtime hours to payroll. It replaces the spreadsheet roster and the WhatsApp message that announces it.

Does HRX360 support rotating shifts?

Yes. A shift can be assigned for a date range with a repeat pattern: every day, alternate days, specific weekdays, weekly, bi-weekly or monthly on chosen dates. A rotating pattern is two or more assignments with different time tables over the same period.

Can employees swap shifts in the app?

No. HR or the attendance administrator changes the roster. Employees see their own week in the employee app, with shifts, holidays, weekend days and approved leave, and contact their manager about a change. Shift swapping between colleagues is not a feature.

How are night shifts that end after midnight handled?

A time table has a Midnight Clock Out setting for shifts that end after 00:00, for example on at 14:30 and off at 00:30, so the clock-out on the next calendar day belongs to the shift that started the day before. Set it on the time table when you create the shift.

Does the schedule calculate overtime?

When overtime is switched on for the company and the time table allows overtime, hours beyond the scheduled shift count as normal overtime and work on a weekly-off or public holiday counts as holiday overtime, with minimum-minutes and rounding rules. Payroll Attendance then prices those hours into the pay run on the Professional plan.

Is shift scheduling included on the Standard plan?

Yes. Time tables, the Work Schedule roster, attendance modes, biometric and mobile clock-in, clock-in reminders and the employee app with My Schedule are all part of the Standard plan from AED 6 per employee per month. Pricing overtime into payroll needs the Professional plan, because it needs pay data.
