An HR letter request is an employee asking the company for an official letter: a salary certificate for a bank, a salary transfer letter, a no-objection certificate (NOC) or an employment certificate. In most UAE companies it still runs on email, a Word template and a signature run.
In HRX360 it is part of your HR software. Employees submit the request from the self-service app, it follows the approval steps you set, and HR issues a numbered letter from the employee's current record. Salary advances, resignations and your own request types run through the same place.
See it on a live accountFrom the self-service app, in a few taps. HR can also raise a request on an employee’s behalf.
Each request type follows its own approval steps. Approvers act from their inbox or by email.
A numbered letter on your letterhead, an advance scheduled into payroll, or a recorded answer.
Letters are filed under the employee’s documents. Every request keeps its number and history.
Let employees request salary certificates, employment letters and NOCs directly through Employee Self-Service. Each request follows its configured approval workflow before HR issues the document.
Approved letters are generated from branded templates using the employee's latest HR record, including job title, salary, bank details and identification information. Every issued letter receives a unique letter number and verification code, is automatically filed under the employee's documents, and can be downloaded from the app.
When a bank, embassy or other authority contacts HR to confirm a letter's authenticity, HR can verify it instantly in HRX360 using the letter number or verification code.

Advances tracked in a notebook or a spreadsheet get forgotten at payroll time. In HRX360 an approved advance creates its own instalment schedule and feeds each deduction into the pay run for its month.
Not only letters and advances. Each request gets a number, follows its own approval route and keeps a full history, so nothing depends on finding the right email.

An HR letter request is an employee asking the company for an official letter, such as a salary certificate for a bank, a salary transfer letter, a no-objection certificate (NOC) or an employment certificate. In HRX360 the employee submits the request from the self-service app, it follows the approval steps set for that letter, and HR issues a numbered letter on the company letterhead from the employee's current record.
For UAE companies HRX360 starts with four standard letters: salary certificate, salary transfer letter for a bank, no-objection certificate (NOC) and employment or experience certificate. The wording of each template is editable, and you can add your own letter types.
Every letter issued from HRX360 carries a unique letter number and a verification code. When a bank, embassy or other authority contacts your HR team to confirm a letter, HR enters the number or code on the Verify a Letter screen and sees straight away whether it is genuine and who it was issued to.
An advance request carries an amount and a number of monthly instalments. Once it is approved, HRX360 creates the instalment schedule and adds each instalment to the employee's salary advance deduction for its payroll month, starting from the first deduction month chosen on the request. If a payroll month is already locked, that instalment is held for HR to post later, move to the next month or settle outside payroll.
Yes. You can cap an advance as a percentage of monthly salary, set a maximum number of instalments, and limit each employee to one open advance at a time.
Each request type has its own approval route with one or more steps. A step can go to the employee's line manager, to anyone holding a role, to a named person, or through the employee's existing approval flow. A fallback role covers any step where no approver is found, so a request is never stuck.
Yes. Alongside the standard types you can define custom ones, for example petty cash, uniform requests or incident reports, with your own form fields and approval route. A type can be marked confidential so that only HR and its approvers see it.
The module is available to every HRX360 customer and is switched on by your administrator in Settings. Switching it on installs the standard UAE request types and letter wording, which you can rename, re-route or disable afterwards.
